e-Studio365 is here: the management software a pilates studio deserves

Some software gets built in a weekend. And then there's the kind that's born from looking closely at a craft, understanding every corner of it, and refusing to accept that «they'll manage with a spreadsheet». e-Studio365 is the second kind. Today, after a long road, we'd like to introduce it to you.

A studio is not «just» classes

At first glance, a pilates or yoga studio looks simple: people come in, move, and leave a little better than they arrived. Inside, though, it's one of the most demanding small businesses there is. Every client expects you to remember their booking, to know how that injury is doing, to keep their fees up to date, and to make today's class a good one. All at once. Every day.

Everything a studio has to handle at once

When we sat down to list it all out, the list kept growing:

  • Bookings, make-up classes and waiting lists, without overbooking or misunderstandings.
  • Following each client: goals, progress in class, injuries, and everything that must never be forgotten.
  • The economics that keep it all viable: fees, sign-up costs, class packs, drop-ins, discounts… and the numbers adding up at month-end.
  • Real collections: SEPA direct debits, bank remittances, returned receipts and outstanding debts.
  • The team: instructors, schedules, substitutions, holidays and the hours actually agreed.
  • The information each class generates: attendance, incidents and the instructor's notes.
  • Acquisition: the lead who calls, the trial class and the follow-up until they stay (or don't).
  • And the part nobody wants to look at but can't ignore: legal obligations.

The legal part: no fear, but no shortcuts

This is where many generic tools pretend it doesn't exist. A studio today has to live with electronic invoicing and Verifactu, with data protection (GDPR), with the fact that health records are especially sensitive data, with the right to be forgotten of clients who leave, with consents and image rights, and with banking procedures that have their own rules.

We don't say this to scare anyone: we say it because it can be done well and let you sleep at night. That's why all of it lives inside e-Studio365 from the start, not as a last-minute patch.

…and none of it should feel like technical software

The real challenge wasn't making it powerful. It was making it powerful and not feel it. So that on a Tuesday at eight in the morning, with a full room, opening e-Studio365 felt like opening a tidy notebook, not flying a plane. We removed screens, hid complexity, and wrote calmly and personally. We wanted a tool that takes work off your mind, not one that adds to it.

That's been our obsession: depth on the inside, calm on the outside. That you control a lot without having to think much.

Where we are now: the final testing phase

Today e-Studio365 enters its final testing phase. The studio that saw it born already works with it for real, and other centres are starting to come on board. We test with real data and real day-to-day, because it's the only way to polish what no requirements document ever tells you.

With use, it's normal for small bugs to appear. We don't say this as an excuse but as a promise: if you find one, we want to know, and we'll fix it fast. Every issue in these weeks makes the product a little more solid for everyone.

And what comes next

The next step is opening it up. e-Studio365 will be a commercial product very soon: a tool made for boutique pilates —and yoga— studios, the two-to-eight-instructor kind, who want to run their centre with head and heart without drowning in admin.

Can it have bugs during this phase?
Yes, that's normal in a testing phase with real use. We fix them fast: if you find one, it helps us a lot if you tell us.
Who is it for?
For boutique pilates and yoga studios, typically two to eight instructors, who want to manage bookings, team, collections and legal duties without complicating their lives.
What happens with my clients' data?
We handle it with the GDPR as our framework: health records are sensitive data, there are consents, access control and the right to be forgotten. We built it in from day one.
